Terms of Service
Last updated: 24 September 2026
1. Who we are, and what these terms cover
Fieldify is owned and operated by Digital Unlocked, registered at 66 Paul Street, London, EC2A 4NA. In these terms, "we" and "us" mean Digital Unlocked, and "you" means the business using Fieldify.
These terms apply when you create a Fieldify account or use fieldify.net. By using Fieldify you agree to them. Fieldify is sold to businesses rather than to consumers, so consumer contract rules do not apply to your use of it.
2. What Fieldify is
Fieldify is job management software for UK trade businesses: jobs, customers, quotes, invoices, payment tracking and repeat work in one system, described in full on our pricing page.
3. Your account and approval
You must be at least 18 and able to enter a binding contract on behalf of a business to register. You are responsible for keeping your login details secure and for everything done under your account.
New accounts are reviewed before they are activated. Until we approve your account you will not be able to use the app, and we may decline an account at our discretion. Your free trial starts when your account is approved, not when you register, so a delay in approval never shortens your trial.
4. Free trial
Approved accounts get a 14-day free trial. No card is needed to start it. During the trial your account can hold up to 3 people in total, meaning you plus up to 2 more, so a small team can genuinely test it together.
At the end of the trial you choose a paid plan to carry on, or access to the app is paused. Your data is not deleted when a trial ends. We will never charge you without you actively choosing a plan first.
You can start a paid plan at any point during the trial, for example if you need to add more people than the trial allows. Doing so ends the trial: your first payment is taken on the day you subscribe, and your plan runs monthly from that date. Once a trial has been used it is not offered again, so cancelling later does not return you to a trial.
5. Plans, pricing and billing
Paid plans are priced per tradesperson, in GBP, and billed monthly in advance, as shown on our pricing page. Today that is £29 per month for the account owner and £9 per month for each additional tradesperson.
Payment is taken through Stripe, who handle the transaction and hold your payment details. We never see or store your card details. Your subscription renews automatically each month until you cancel.
You can add or remove tradespeople at any time and your bill adjusts to match.
Adding or removing tradespeople takes effect straight away and the difference is worked out pro rata. Add someone mid-month and you pay only for the days they are on the account. Remove someone and you are credited for the days remaining, applied to your next invoice rather than refunded to your card. Time already used is always charged for.
If we change our prices we will give you at least 30 days' notice by email before the change applies to your subscription, and you may cancel before it takes effect if you do not want to continue.
6. Cancelling, and what happens to your data
You can cancel at any time. There are no minimum terms and no lock-in contracts. Your subscription then runs to the end of the period you have already paid for and does not renew. When it ends, access to the app is paused until you subscribe again. We do not give partial refunds for time remaining in a month you have paid for, except where the law requires it or where we have got something wrong.
This is different from removing a seat. A seat removed part-way through a month is credited pro rata against your next invoice, because the subscription continues. Cancelling ends the subscription itself, and the month you have already paid for runs to its end.
You can export your data at any time while your account is active. After your account closes we delete or anonymise your data as described in our Privacy Policy, apart from records we are legally required to keep.
7. Your data, and our role
Everything you put into Fieldify stays yours. We do not claim ownership of your jobs, customers, quotes, invoices, photos or documents, and we do not use them for our own purposes.
For the records you enter about your own customers we act as your data processor, and you are the data controller. That means you are responsible for having a lawful reason to collect that information and for handling your customers' own privacy requests. We handle it only on your instructions, as set out in our Privacy Policy. If you need a signed data processing agreement, email us and we will provide one.
8. Acceptable use
Fieldify is for legitimate trade-business use. You must not:
- Use it to break the law or to store unlawful content.
- Attempt to access another business's account or data.
- Probe, disrupt or overload the service, or work around its security or rate limits.
- Resell or white-label access without our written agreement.
- Send unsolicited marketing through the messaging features.
9. Third-party services
Fieldify relies on other providers to work, including Stripe for payments and Cloudflare for hosting. Those services have their own terms, and an outage or change at one of them can affect Fieldify. We choose our providers carefully but we are not responsible for their acts or omissions beyond our own duty to select and manage them reasonably. The current list is in our Privacy Policy.
10. Our intellectual property
Fieldify's software, design, content and branding belong to us. These terms give you a non-exclusive, non-transferable right to use the service while your account is active, and nothing more. You must not copy, decompile or attempt to extract the source of the software except to the extent the law permits.
11. Availability and support
We aim to keep Fieldify available and reliable, and we monitor it continuously, but we do not promise uninterrupted access and we do not currently offer a contractual uptime guarantee. Maintenance, updates, third-party outages and events outside our control can all cause downtime. Support is provided by email during UK business hours.
We may change or remove features as the product develops. If we make a change that materially reduces what you are paying for, we will tell you in advance and you may cancel if you are unhappy with it.
12. Backups and your own copies
We take regular backups and keep a separate copy of uploaded files, and we test that restoring works. Backups are a safeguard against our own failures, not a substitute for your records. You remain responsible for keeping your own copies of anything your business is legally required to retain, such as invoices and tax records.
13. Warranties
We provide Fieldify with reasonable care and skill. Beyond that, and to the extent the law allows, the service is provided as it is, without further warranties, and we do not promise that it will be error free or that it will meet every requirement of your particular business.
14. Liability
Nothing in these terms limits or excludes our liability for:
- Death or personal injury caused by our negligence.
- Fraud or fraudulent misrepresentation.
- Anything else that cannot lawfully be limited or excluded.
Subject to that, we are not liable for loss of profit, loss of business, loss of goodwill, or indirect or consequential loss, and our total liability to you in any 12-month period is limited to the total amount you paid us for the service in the 12 months before the claim arose.
This reflects the fact that Fieldify is low-cost software rather than an insured professional service. If your business needs cover beyond that, please arrange your own insurance.
15. Suspending or ending an account
You can close your account at any time by contacting us. We may suspend or close an account that breaches these terms, that is being used unlawfully, or where payment has failed and has not been resolved. Where it is reasonable to do so we will warn you first and give you a chance to put things right.
If a subscription payment fails, we may pause access until payment succeeds. Access is restored automatically once it does.
16. Changes to these terms
We may update these terms as Fieldify develops. We will update the date at the top, and for material changes we will tell registered users directly by email before the change takes effect. Continuing to use Fieldify after that means you accept the updated terms.
17. General
- Notices: we contact you at the email address on your account, so please keep it current. You can reach us at the address below.
- Assignment: you may not transfer your rights under these terms without our agreement. We may transfer ours if our business is sold, provided your rights are not reduced.
- Severability: if any part of these terms is found unenforceable, the rest continues to apply.
- No waiver: if we do not enforce a right straight away, we have not given it up.
- Third parties: nobody other than you and us has rights under these terms under the Contracts (Rights of Third Parties) Act 1999.
- Entire agreement: these terms, together with our privacy and cookie policies, are the whole agreement between us about Fieldify.
18. Governing law
These terms and any dispute arising from them are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
